Assigning Contacts to Groups

Now that you have created all the groups you need in Paragon, it's time to assign your contacts to a group.

 

Assigning Contacts to Groups

Click on the Contacts button on the main menu.

Click on View / Manage Contacts

   →     

 

 

The Contact List will open.

Click on the name of the contact you want to assign to a group.

The Contact Activity page will open.

Click Next

The Contact information page will open.

Check the box on the Group(s) you would like to assign for this Contact.

Click Save.

 

 

You have successfully assigned a Group to a contact in Paragon!

Create a Group

Contact lists can become very long. Save time and manage your contacts by creating Groups.

 

Creating/Adding Groups

Click on the Contacts button on the main menu.

Click on Manage Groups

   →     

 

 

The Group List modal will open.

Click Add New

The Add Group modal will open. Select a Type, enter a Name and Description if desired.

Click Save

Click Save

 

 

You can now continue to Add, Modify, Delete, Print and E-Mail groups.

 

 

 

You have successfully added a Group in Paragon!

Managing Groups

Did you know you could assign Clients to Groups that you create and you can manage those clients by Group? If you answered "NO" let's fix that!

Click on the Contacts button on the main menu.

Click on Manage Groups

   →     

 

 

The Group List will open.

From the Group List page you can: Add New Groups Names and Descriptions, Modify a Group Name and Description, Delete, Print, the Group List & E-Mail members of a Group(s)

 

Add New

Modify

 

Delete

Select the Group or Groups to be deleted. Click Delete.

 

Click Delete Group(s)

Print

The Complete list of Groups can now be printed.

Click Print

 

Click Print

 

 

Email

Click E-Mail

 

The distribution list is already created for you!

Compose your email and click Send

 

Sort By Group

 

You are ready to work with Groups in your Contact Manager!

Add a Task To a Contact

There are many details and tasks to track throughout the life of a client. Do you need to add a new, delete or mark a task as complete in Paragon? Read on!

Click on the Contacts button on the main menu.

Click on View/Manage Contacts.

   →    

 

 

A list of current contacts will open.

Contact List Example

Click on the name of the contact who needs the task added.

 

The Contact Activity Page will open.

 

Click on the plus sign + to open the More Information folder.

 

Click on Tasks

Click on Add Task

 

 

 

The Task Form will open.

 

 

 

Fill out the Task Form

 

 

Click Save

The task is now added to the task list for that contact.

 

Click on the title of the task to modify it or mark it as complete.

 

To delete a task; place a check mark in the box of the task you wish to delete and click Delete.

You have successfully added a task in Paragon!

Contact Manager

Do you need to add a new, delete or edit a contact in Paragon? Are you curious about how you can work with your current contacts in Paragon? Or maybe now that you have created a search and saved it to a contact for auto notification you need to understand how the Contact Manager works in Paragon.

Click on the Contacts button on the main menu.

Click on View/Manage Contacts.

Actions

There are 6 action functions on the Contact Manager Page:

Add New

Click on Add New to add a new contact. See the  Add New Contact guide for more information.

Delete

You can delete any and all contacts. It is recommended to change the contact status to Inactive as an alternative to deletion.

Place a check in the box of the contact you wish to delete and click Delete.

Print

Click Print to print your list of Contacts.

You can select individual contacts to print by placing a check mark in the box or print the complete list.

 

 

Click Print

 

 

 

Labels

Click on Labels

 

 

 

If an address is incomplete or missing from the contact page the label will not print.

Auto Notifications via Email

Have you set up a saved search for a client? Do you want to automatically notify them via email with a link to the listings? This Quick Start Guide will show you how to set up an automated email notification with the links to the listings that match your specifications.

How to setup Email Auto Notifications

Click on Contacts within the top navigation menu, then select View / Manage Contacts

Click on the Contact for whom you have created a Saved Search

Click on Search Activity in the left hand menu, then choose the saved search

Click on the Email Notification radio button

Paragon allows for one notification per Saved Search.

Congratulations! You now know how to create an email notification within a client's Saved Searches.

Adding a Contact

Adding a Contact

Are you working with a new client? You will need to enter their contact information in Paragon. Adding a contact in Paragon is quick and easy. In addition to giving you access to your clients' contact information, it's the first step of being able to associate a saved search with a client and set up auto notifications of your search results for your clients.

Click on Contacts and Add Contact.

The Contact Information Page will open. (pictured below)

There are only 2 required fields in the Contact Information page. Once you have entered the first and last names for the customer, Paragon will allow you to save that contact.

Click on the Active radio button to activate this contact.

Enter the First Name, Last Name and any other contact information you wish and click Save.

With the Inactive option for contacts in Paragon; you can interrupt auto notifications to clients without having to delete the contact. You may also add a secondary/spouse contact to receive emails and auto notifications. If entering one or more email addresses; one email address must be marked as Primary.

You can designate the contact as a Buyer, Seller or Other as you choose.

You have just added a contact in Paragon!

Add a Saved Search to a Contact

Add a Saved Search to a Contact

Now that you have learned how to save a search and add contacts in Paragon, it is time to see how we link the saved searches and the contacts together.

What good is a saved search without a contact? Customers and clients learn about new listings that match their search criteria from the auto notifications you set up to be sent to them.If you want to send out auto notification to clients, customers and contacts you will need to link up your saved searches to the appropriate contacts. If you want to know more about how to do this, read on!

The Contacts window will display. Click on the contact name to select the contact for whom you want to link a saved search or create a new search. The Contact Manger Wizard will open.

Click on the green NEXT button twice.

                     

 

The ADD SAVED SEARCH options screen will open.

                                                               

The Associated Saved Search modal will open.

Check the box next to the box of the saved search you wish to associate to your contact and click SAVE.

        

Congratulations! You have just associated a saved search with a contact!
